Case study · Client portal

Asana for the team. A clean portal for the client.

A client portal wired to a custom Asana workflow — clients get the updates that matter, without being dropped into the full board.

Asana-powered client update portal

Client: The Visionary Hub

Engagement: Asana-powered client update portal

Location: Client portal

A client portal wired to a custom Asana workflow — clients get the updates that matter, without being dropped into the full board.

The Visionary Hub solves a common delivery problem: the team runs work in Asana, but clients should not live in the same workspace. Developera built a portal on a custom Asana workflow so clients can follow progress and updates — filtered, clear, and free of the noise of every internal task, comment, and board.

The challenge

Giving clients raw Asana access shows too much: internal tasks, half-finished work, process fields, and conversations that were never meant for the client. Hiding everything and emailing status instead creates lag and “what’s happening?” threads. The Visionary Hub needed a middle path — a custom Asana workflow plus a portal where clients only see the updates they should see.

Approach

  • Designed a custom Asana workflow that separates internal work from client-visible updates
  • Built a client portal that surfaces progress without exposing the full project board
  • Mapped which statuses, milestones, and notes are safe to share
  • Kept the delivery team in Asana as the source of truth — the portal is the client lens

Custom Asana workflow

The team still runs delivery in Asana. The difference is structure: a custom workflow that marks what is internal versus what is ready for the client. That discipline is what makes a portal honest — updates come from the same system the team already uses, not a second spreadsheet of “client status.”

Clients see updates — not everything

The portal is intentionally limited. Clients can follow progress and the updates that matter to them without scrolling past every subtask, assignee, and internal discussion. They get clarity without the overwhelm (or the politics) of full workspace access.

One source of truth, two experiences

Delivery stays in Asana. Communication to the client stays in the hub. That split reduces “please don’t look at that board yet” moments and stops status reporting from becoming a weekly rewrite for account managers.
